What is ESP Matching | Everything You Need to Know

Rajnish

ESP (Email Service Provider) Matching is a feature in email outreach softwares that optimizes your email deliverability by aligning your sender's email provider with your recipient’s email service provider. This means emails sent to Gmail addresses will be sent using Gmail accounts, emails sent to Microsoft accounts will be sent using Microsoft accounts, and so on.

This article provides a step-by-step guide to enabling and configuring ESP Matching.

Why Should You Do ESP Matching?

ESP Matching ensures your emails are sent through the right channels, improving deliverability and building trust with email providers. It helps your cold email campaigns land in the inbox, not the spam folder.

Here are some key benefits of using ESP Matching:

Improved Deliverability

Matching your email service provider (ESP) with your recipient’s reduces the chances of your emails landing in spam. It’s like speaking the same language—your emails are more likely to be trusted and delivered straight to the inbox.

Enhanced Sender Reputation

Using the same ESP as your recipient helps you build credibility over time. This means not just better results now, but also stronger deliverability for future campaigns.

Smarter Targeting

Want to tailor your campaigns to specific email platforms? ESP matching lets you focus on the providers that matter most for your audience, making your campaigns more effective.

How to Enable ESP Matching in Cold Email Campaigns

Step 1: Access Campaign Settings

  • Log in to your Manyreach or the cold email tool you’re using
  • Go to the Campaigns section from the dashboard.
  • Select an existing campaign or create a new one.
  • Navigate to the Settings tab within the campaign editor.

Step 2: Enable ESP Matching

  • Scroll down to the ESP Matching section under campaign settings.
  • Locate the toggle switch labeled Enable ESP Matching and turn it on.

The Limit ESP Providers (only available in Manyreach) is to configure ESP Matching to target specific email service providers.

For example, you might want to send emails only to Gmail users and exclude others like Outlook.

To enable it, go to the ESP Matching settings, look for the Limit ESP Providers section.

Check the boxes for the ESPs you want to send emails to.

Example: To send emails only to Google, select it and uncheck like Outlook and "send to others".

That's it.

Step 3: Add Senders from Different Providers (if you haven’t already)

To make ESP Matching work effectively, you need to ensure you have senders from various email service providers added to your Manyreach account.

  • Go to Settings > Email Accounts in your Manyreach dashboard.
  • Click on Add Sender and connect email accounts from providers like Gmail, Outlook, Yahoo, or any custom SMTP provider.some text
  • For Gmail accounts, ensure IMAP is enabled and 2-Step Verification is set up.
  • For custom SMTP providers, enter the necessary server settings and credentials.
  • Repeat the process for all email service providers you wish to use.

Step 5: Test ESP Matching

Before launching your campaign, it’s important to test if ESP Matching is working as intended:

  • Go back to the Campaigns section.
  • Open the campaign where ESP Matching is enabled.
  • Select Preview and Send Test Email to send a test email to different email addresses.
  • Check if emails are being sent using the appropriate sender accounts.

Step 6: Monitor Campaign Performance

  • Once your campaign is live, navigate to the Reports tab to monitor deliverability rates.
  • Ensure emails are being delivered successfully to the intended ESPs without bounce or spam issues.

Conclusion - Important Notes

And that’s it! Enabling ESP Matching on Manyreach is a great way to ensure your emails land in the right inbox, improving both deliverability and engagement. By matching your senders with the recipients' email service providers, and even limiting specific ESPs, you can make your campaigns more targeted and effective. Hopefully, this guide made the setup process smooth and easy for you!

A couple of things to keep in mind:

  • Sender Limits: Make sure you’ve got enough daily sending limits for all your email accounts to avoid any interruptions.
  • Campaign Scalability: The more diverse your sender accounts are, the better ESP Matching will work, especially for larger campaigns.
